5 Ways Using Technology Can Better Your Business Communication

Technology has changed the face of business communications for the better. Companies can now instantly communicate with clients, customers, and partners whether they’re just down the hall or halfway around the world.

If you’re still relying on your office phone as your primary method of business communication, it may be time for a 21st century upgrade. Here’s a look at five ways technology can make your business communication better:

  1. More speed – Before the days of video conferencing and email, business communications could take a long time. Setting up phone or in-person appointments was often difficult because of conflicting schedules and differing time zones. Technologies like instant messaging, smartphones, web conferencing, and instant document share has increased the speed with which businesses communicate. Now, communications can take place instantly almost anywhere.
  2. More mobility – Technology has also eliminated the need to be tied down to a specific office location. With mobile devices and wireless Internet, business can be conducted from almost anywhere you are. This tech has allowed many workers to telecommute to the office at least part time.
  3. More personal – Contrary to what many people think, technology has actually allowed businesses to communicate with their colleagues and clients on a more personal level. Where once the only way to have a face-to-face conversation was to spend a lot of time and money traveling to distant offices, technology has allowed these types of personal communications to take place instantly. Videoconferencing allows participants to see each other and watch for reactions and nonverbal expressions that are missing from other forms of communication. Because videoconferencing is easier and cheaper to set up (compared to business travel), face-to-face communication can happen more often.
  4. More workflow – When is the best time to send business documents? Right at the point of communication, when everyone can share and discuss ideas. In the past, sharing documents was one of the hardest and most time-consuming business communications activities—now, documents can be shared instantaneously with the click of a mouse.
  5. Less costly – All of these communications benefits translate into less cost overall. Without all the expenses of travel, long distance telephones, and wasted time and productivity, the cost of communications is significantly reduced.
These are only some of the ways that technology has improved business communications. If you aren’t taking advantage of them, then it may be time to look into how to change the way you do business.
